Email warm-up is the foundation of successful email outreach. Before you launch your first email campaign in Enginy, warming up your email addresses builds the sender reputation needed to consistently land in your prospects' primary inbox, avoid spam folders, and protect your domain from being blacklisted.

Every email address and domain has a sender reputation score that email providers (Gmail, Outlook, Yahoo, and others) use to decide whether your messages reach the inbox, land in the Promotions tab, or get flagged as spam. When you start sending from a new email address or domain, that reputation score is essentially zero. Email providers have no history to judge your legitimacy, and sudden high-volume sending from an unknown source is one of the strongest spam signals.

Even a well-crafted, personalized outreach email can end up in the spam folder if the sender has no established reputation. This affects open rates, reply rates, and ultimately the revenue you generate from email outreach.

How Warm-Up Solves It

Email warm-up gradually builds your sender reputation over a period of weeks by simulating authentic email activity. During the warm-up process:

  • A controlled number of emails are sent from your address each day to real recipients within a warm-up network.

  • Those recipients automatically open, read, and reply to your emails, generating positive engagement signals.

  • Emails that land in spam are automatically moved back to the inbox, training email providers to trust your address.

  • The daily volume increases incrementally, mimicking the natural growth pattern of a legitimate sender.

The result is that by the time you launch your first campaign, email providers already recognize your address as a trustworthy sender. Your emails bypass spam filters and reach the primary inbox where your prospects will actually see them.

How Warm-Up Works in Enginy

What Happens Behind the Scenes

Enginy's warm-up feature uses an industry-leading external provider that specializes in email deliverability. When you activate warm-up for an email address, the system:

  1. Connects your email address to a network of real mailboxes across major providers (Gmail, Outlook, Yahoo, and others).

  2. Sends a gradually increasing volume of emails from your address to these mailboxes each day.

  3. Generates positive engagement signals: the recipient mailboxes open the emails, reply to them, and move any that land in spam back to the inbox.

  4. Uses AI-driven algorithms that adapt the sending patterns to optimize deliverability for your specific address and domain.

  5. Continues this process for approximately two weeks until your sender reputation reaches a healthy baseline.

You do not need to configure or manage any of this manually. Once you activate warm-up in Enginy, the process runs automatically.

Warm-Up Seats

Warm-up operates on a seat-based model. Each warm-up seat allows you to warm up one email address at a time. If you need to warm up multiple email addresses simultaneously (for example, when onboarding a new sales team or adding new domains), you need one seat per address running in parallel.

Tip: If you plan to scale your outreach, consider securing enough warm-up seats to onboard all your senders in parallel. Warming addresses sequentially works but delays when each sender can go live.

Activate Warm-Up for an Email Address

  1. Go to the Identities section from the left side menu.

  2. Select the identity that has the email address you want to warm up.

  3. Click Configuration.

  4. Navigate to Email > Manage tab.

  5. Click the Start button next to the email address you want to warm up.

  6. Wait approximately two weeks for the warm-up process to complete.

  7. Return to Identity Configuration > Email > Manage tab and click Stop to end the warm-up. The email address is now ready for live campaigns.

Important: Make sure the email address is already connected to the identity before starting warm-up. If you have not connected an email address yet, do so first via the Manage tab using Google, Microsoft, or IMAP.


Rules During the Warm-Up Period

While warm-up is running, follow these rules to ensure the process completes successfully and your sender reputation improves as expected:

  • Pause all campaigns using that identity. Do not send any email campaigns from the address being warmed up. Sending campaign emails during warm-up can interfere with the gradual reputation-building process and reduce its effectiveness. Pausing campaigns is not strictly mandatory, but it is highly recommended for the best results.

  • Avoid sending emails from that address outside of Enginy. Manual emails sent from the same address (through Gmail, Outlook, or any other client) can disrupt the controlled warm-up pattern.

  • Do not mark warm-up emails as spam. You will receive automated emails during this period as part of the warm-up network. These are legitimate warm-up messages. Simply open and archive them. Marking them as spam would directly counteract the reputation-building process.

  • Do not disconnect the email address. Keep the email account connected to Enginy for the entire warm-up duration. Disconnecting mid-process will interrupt warm-up and you may need to restart.

Warning: Violating these rules, especially sending campaign volume during warm-up or marking warm-up emails as spam, can negate the benefits of the entire process and leave your address in a worse state than before.


After Warm-Up: Transition to Live Campaigns

Once warm-up is complete, your email address has an established sender reputation and is ready for outbound campaigns. However, transitioning to full campaign volume requires a careful approach.

Start with conservative sending limits and increase gradually as your reputation continues to strengthen with real campaign engagement:

You can configure these limits in Identities > Configuration > Email > Email Rate tab. Enginy's maximum allowed configuration is 80 emails per inbox per day and 10 emails per inbox per hour.

Warning: Only increase sending limits if you have a specific reason and your sending domains already have a strong reputation. If you notice deliverability issues (higher bounce rates, lower open rates), lower the volume temporarily and investigate.

Scale Gradually With Multiple Addresses

Connecting multiple warmed-up email addresses to Enginy is the recommended strategy for scaling outreach safely:

  • Distributes the sending load — Each inbox only sends a portion of the total emails, keeping every account within safe limits.

  • Minimizes spam and blacklist risk — If one address hits a deliverability issue, others continue operating normally.

  • Maintains consistent performance — Each email account builds and maintains its own independent reputation.

  • Increases combined capacity — For example, 3 inboxes at 30 emails/day each give you 90 emails/day total while each stays within the safe zone.

You can configure Enginy to rotate between connected email accounts when sending campaign emails using the Shuffle option in your campaign's Email Inbox setting, or assign different campaigns to different addresses.

Tip: When adding new email addresses for scaling, warm up each one before using it in campaigns. Every new address needs its own warm-up period regardless of your domain's existing reputation.


Email Deliverability Checklist

Warm-up is the most critical step, but it works best as part of a complete deliverability strategy. Use this checklist to maximize your inbox placement rates.

DNS Authentication (SPF, DKIM, DMARC)

Before launching any email campaign, ensure your sending domain has proper DNS authentication configured:

  • SPF (Sender Policy Framework) — Tells receiving servers which mail servers are authorized to send email on behalf of your domain.

  • DKIM (DomainKeys Identified Mail) — Adds a digital signature to your emails that proves they have not been tampered with in transit.

  • DMARC (Domain-based Message Authentication, Reporting and Conformance) — Instructs receiving servers on how to handle emails that fail SPF or DKIM checks.

Important: Without SPF, DKIM, and DMARC properly configured, even a fully warmed-up address may face deliverability issues. Use free online tools to verify your DNS health and email deliverability score before launching campaigns.

Content and Sending Hygiene

  • Vary your messages — Do not send identical content to everyone. Use personalization and AI Variables to create unique messages for each prospect. Identical bulk content is a strong spam signal.

  • Keep emails lightweight — Enginy does not allow attaching files directly (attachments are a common spam trigger). Share files by adding a link (Google Drive, Dropbox, OneDrive, etc.) instead.

  • Use multiple domains — Spread outreach across several domains (e.g., yourcompany.com, yourcompany.io, yourcompany.es) and rotate them across campaigns.

  • Be cautious with tracking — Enabling Track email opens (pixel tracking) and Track link clicks can trigger spam filters. Use them selectively and monitor the impact on your deliverability.

  • Monitor bounce rates — High bounce rates signal to providers that you are sending to invalid addresses. Keep your contact lists clean and enriched.


Practical Use Cases

New Domain or Email Address

You have just set up a new domain (e.g., outreach.yourcompany.com) and created fresh email addresses for your sales team. Without warm-up, the very first campaign you send from these addresses will almost certainly land in spam. Activate warm-up for each address, wait two weeks, and then launch campaigns with confidence that your emails will reach the inbox.

Recovering a Damaged Reputation

Your existing email address has been sending high volumes without proper limits, and you have noticed declining open rates and increasing bounces. In this scenario, pause all campaigns, activate warm-up on the affected address (or set up a new address on the same domain), and let the process rebuild your sender reputation. After warm-up, resume campaigns with conservative sending limits and monitor performance closely.

Scaling Outreach Across Multiple Senders

Your team is growing from 2 SDRs to 10, and each new rep needs their own email address ready for outreach. Purchase enough warm-up seats to warm all 10 addresses simultaneously. In two weeks, every rep can start sending campaigns at the same time rather than waiting months for sequential warm-up.

Q1: Can I send campaigns while warm-up is running?

It is not mandatory to stop campaigns, but it is highly recommended. Sending campaign emails from an address that is being warmed up can interfere with the controlled, gradual reputation-building process. For the best results, pause all campaigns using that identity until warm-up is complete.

Q2: What should I do with the automated warm-up emails I receive?

You will receive automated emails from the warm-up network during the warm-up period. These are part of the process. Simply open and archive them. Do not mark them as spam — doing so would directly counteract the reputation improvements that warm-up is building for you.

Q6: I already have an established domain. Do I still need warm-up?

If you are adding a new email address on an established domain, warm-up is still recommended. While the domain itself may have reputation, individual email addresses build their own sending history. Warm-up ensures the new address starts strong. If you are already sending from an established address with healthy metrics, warm-up is not required.

Q7: How do I know warm-up is working?

After completing warm-up and launching your first campaigns, monitor your email metrics in the campaign Overview tab.
